Cube Sports – Booking Terms and Conditions


Booking Numbers

Services must notify Cube Sports if student numbers exceed the original booking. Additional participants may incur additional charges.

Weather Cancellations

If severe weather prevents a program from proceeding, a Cube Sports team member must be notified immediately. Where possible, notification should be provided at least two (2) hours prior to the scheduled session start time.

Failure to notify Cube Sports will result in full payment of the session.

If a service cancels an incursion after the coach has arrived on site or once the session has commenced, full payment will be required.

On-the-Day Cancellations

Program Cancellations

This includes, but is not limited to, cancellations due to double bookings, change of mind, low participant numbers, unplanned service closures or administrative errors (e.g. forgotten or misplaced bookings).

By confirming a booking with Cube Sports, the service agrees that the session will proceed as scheduled. If a service chooses to cancel for the reasons outlined above, full payment may still be required, This will be assessed at the discretion of Cube Sports.

If a service has paid for a program and Cube Sports cancelthe program due to coach illness or unforeseen circumstances, the service will be issued a full credit. This credit may be used towards another Cube Sports program for the next vacation care period, valued at originally booked cost. After this time, the credit will expire. If participant numbers exceed the original booking, or if the selected program exceeds the available credit, the service will be responsible for covering the additional costs.  

Technology and Equipment Use

If Cube Sports is required to use a service’s onsite devices, technology, or systems and technical issues occur that are outside of Cube Sports’ control, full payment will still be required. Cube Sports will make every reasonable effort to assist in resolving issues where possible.

Supervision and Duty of Care

Services must ensure required educator-to-child ratios are maintained at all times. Educators must remain present for the full duration of the Cube Sports session.

Educators are responsible for behaviour management throughout the session, including the care, supervision, and management of children at all times.

Payment Terms

Invoices must be paid by the due date stated on the invoice unless otherwise agreed to in writing.

Damage to Equipment

If participants intentionally damage Cube Sports equipment or resources, the service will be invoiced for the full replacement cost.
